Position Summary: The Systems Access Coordinator (Digital Onboarding) is responsible for employee onboarding related to manufacturing operations systems access as well as providing administrative assistant support to Operations and Program Management leadership. Develop accurate and timely data resulting from detailed analysis and continuous improvement initiatives. Provide support in the following: employee onboarding/off-boarding procedures, office administration procedures, correspondence, business and event arrangements, purchase orders and travel requests.

Primary Responsibilities:

  1. Onboarding Support
  • Support IT and HR with system access for new hires (requests, validation, etc.)
  • Determine system access requirements based on operational and employment variables.
  • Maintain onboarding tracking documentation, detailed reporting of current status, communicate risks and opportunities, develop and implement mitigation plans.
  • Troubleshoot and problem solve issues in partnership with HR and IT.
  1. Analysis
  • Apply a variety of tools to collect, analyze and report data in support of the Performance Management System.
  • Prepare reports, memos, letters, presentations and other documents, using word processing, spreadsheet, database or presentation software.
  • Conduct research across functional boundaries, assemble and analyze data to prepare reports and documents.
  1. Administrative Support
  • Plan and arrange a schedule of meetings and events.
  • Record, transcribe and distribute minutes of meetings.
  • Review administrative operating practices and suggest/ implement improvements where necessary.
  • Organize and maintain paperwork including soft copies of the same, conducting research and circulating information using telephone, e-mail, letters and web sites.

  • Other duties as assigned, to include project support.

Qualified Experience / Skills / Training:

Education:

  • Required: Associates Degree in business or a related field or an equivalent combination of education and experience.

Experience:

  • Required: A minimum of 2 years' experience providing administrative support in a business environment or related field.
  • Preferred: Experience providing administrative support to Senior Level Leadership.

Knowledge, Skills, Demonstrated Capabilities:

  • Effective communication skills, both written and verbal.
  • Strong computer skills and experience with business applications including both Google Workspace and Microsoft Office and SAP.
  • Requires sharp attention to details, excellent problem-solving skills and a highly collaborative communication style.
  • Must be able to work in a positively interactive dynamic and fast-paced environment while productively achieving the team's daily and weekly individual performance expectations.
  • Ability to track and follow up on projects, tasks and action items.

Nature of Contacts:

  • Ability to interact with multiple levels of personnel in the organization
  • Strong communication skills both written and verbal

Physical Requirements:

  • Vision: able to see and utilize fine work tools, computer screens; able to move through the office and from point to point to find specific co-workers and in-house experts
  • Hearing: able to hear in normal conversations and respond to warnings and signals
  • Speaking: able to participate in normal business conversations
  • Equipment Operation (personal computer, telephone, copies, fax machine, and related office equipment and using electronic identification card to enter building floors and internal doors): able to use work tools defined in job description with skill and acceptable results: able to operate standard office equipment and utilize electronic ID to enter building
  • Carrying: able to carry up to 20 lbs./9kg. when transporting documents, printer paper and similar items.
  • Lifting: able to lift up to 20lbs/9kg. on occasion
  • Pushing / Pulling: able to push/pull equipment, tools, production carts and office chairs and pieces of equipment
  • Sitting: able to sit for extended periods of time in front of a machine, on a tool bench or computer terminal while writing bulletins or participating in meetings
  • Squatting / Kneeling: able to regularly squat/kneel to access items or tools stored on low shelving
  • Standing: able to stand for long periods of time in meetings and discussions
  • Travel: able to travel through the office/work complex and occasionally within the US for business meetings
  • Walking (include routine walking such as to a shared printer to retrieve documents): able to walk through office and production areas sometimes on uneven surfaces to obtain items for work, retrieve/replace tools and to reach meetings, visitors and direct others to meetings
