Position Summary:

The Documentation Specialist will support the Safety and Health Manager, along with EHS Director and Human Resources organization. This role will be responsible for supporting all aspects of COVID-19 data tracking, documentation preparation, and case file organization.


Primary Responsibilities:

  • Participate in the Airbus Mobile COVID-19 site debrief with Airbus EHS/HR on a daily basis via digital media
  • Perform Documentation Specialist duties for each contact/suspected/positive COVID-19 case
    • Documentation to be maintained in a secure manner within the Airbus data system
  • Act as the primary point of contact for tracking of contact/suspected/positive COVID-19 cases, documentation of contact/suspected/positive COVID-19 cases, and provide information to Airbus Employees pertaining to COVID-19 per current Airbus COVID-19 policy and procedures (quarantine requirements, critical infrastructure, contact tracing, etc.)
    • Airbus HRBP/EHS will be responsible for contacting and interacting with the Airbus employees for work relatedness determination, HR specific functions (short term disability, PTO, etc.) and health & welfare checks
    • This role will be responsible for contacting and interacting with the Airbus employees for reasons pertaining to documentation, scheduling, contact tracing, information request pertaining to current COVID-19 policies and procedures, and any COVID-19 related admin requirements that do not fall under work relatedness determination, HR specific functions, and/or health & welfare checks
  • Conduct headcount and document participation via a tracker on a daily basis for all Airbus employees and suppliers enrolled in the Airbus Mobile critical infrastructure process
  • Liaison with OHC so as to ensure all Airbus Mobile employees enrolled in the Airbus Mobile critical infrastructure process are tracked and monitored per current Airbus Mobile policy and procedures
  • Coordinate scheduling for return to work evaluations and/or Airbus Mobile critical infrastructure procedures with OHC per the current Airbus Mobile policy and procedures
  • Maintain a digital tracker for each contact/suspected/positive COVID-19 case in the format decided by Airbus Mobile EHS, provide real-time updates as needed, periodically with little to no notice
  • Communicate daily summary and associated key case notes to H&S Mgr
  • Assist the Airbus Mobile HR Analyst with COVID-19 database maintenance so as to ensure accurate numerical data for all contact/suspected/positive COVID-19 cases
  • Performs other duties as assigned.

Qualifications/Basic Job Requirements (Skills needed):

  • Similar administrative or clerical work experience last 24 months preferred
  • Documented HIPAA training within last 18 months preferred
  • Proficient with Google Workspace
  • Proficient with Excel and other Microsoft Office tools
  • Ability to communicate effectively, both verbally and in written form
  • Ability to maintain and ensure the confidential nature of the position

Education/Special Qualifications (schooling, certifications):

  • High school diploma required
  • Associate Degree or higher preferred

Physical Requirements:

  • Vision: able to read text on paper and computer screens. Able to see and recognize individuals. Ability to observe
  • Hearing: Able to conduct conversation at normal tones. Ability to hear instructions, carry on phone conversations. Able to hear signals and alarms.
  • Speaking: Able to speak and be understood; able to relay instructions/directions and carry on telephone conversations.
  • Equipment Operation (personal computer, telephone, copies, fax machine, and related office equipment and using electronic identification card to enter building floors and internal doors): able to operate a personal computer and related equipment (printer, copier, fax, etc.) and to operate electronic doors and other on-site security devices. Able to use electronic identification card to enter building, separate floors and internal doors.
  • Carrying: able to carry up to 20lbs/9kg for up to 200 feet. Able to carry office supplies and small pieces of equipment.
  • Lifting: Able to lift items from where they are stored and replace them.
  • Pushing / Pulling: Able to push/pull small pieces of office furniture; arrange conference rooms; otherwise facilitate day-to-day business.
  • Sitting: Able to sit for extended periods of time at a computer; in meetings; at conferences with minimal breaks.
  • Squatting / Kneeling: Able to squat/kneel to retrieve or place items on low storage shelves and to pick up dropped items.
  • Standing: Able to stand for extended periods of time in meetings; conducting tours and similar activities.
  • Travel: Able to travel via car and plane both domestically and internationally, if needed.
  • Walking (include routine walking such as to a shared printer to retrieve documents): able to walk through office and production areas to seek out individuals or conduct tours including sometimes on uneven surfaces including the flightline.

This position is a temporary (contract) position with no specific time period but could be extended or shortened as needed. Contractors are employed by a 3rd party vendor and placed on assignment to Airbus in America.
