Position Summary:

Functions as Administrative Assistant, KPi's Manager, and Analyst to Head Technical Support. Develop accurate and timely data resulting from detailed analysis.  The analysis will reflect all levels of Technical Support Team and include projects as well as continuous improvement initiatives. Provide support to Technical Support Managers in the following: office administration procedures, correspondence, business and event arrangements, call screening and prioritization, purchase orders and travel requests.

Essential Functions

  • Responsible to capture Meeting Minutes and distribute as required to all personnel.
  • Organizes presentations and reports on a regular basis.
  • Apply a variety of tools to collect, analyze and report data in support of the Performance Management System
  • Performs the analysis of data in order to prepare standardized reports on operational matters impacting all facets of SQCDP as well as ad hoc reports using standardized or specifically collected data and reports.
  • Utilizes data resulting from special projects to develop useful and timely recommendations to the HO Flowline and the Operations Management Team to resolve issues and improve operations.
  • Drafts emails, letters and other correspondence received by the FAL for the HO's signature as well as in response to requests for general information.
  • Follow-up on actions requested by or requiring the approval of the HO Flowline to ensure timely review and response.
  • Arranges for ancillary activities such as customer dinners, sales and marketing presentations, visits to suppliers and vendors and related business events
  • In the HO's absence, ensure all matters are addressed by appropriate staff.
  • Responsible to book and maintains travel schedule and coordinates others traveling with the HO Technical Support to maximize efficiency and ensure travel proceeds smoothly.
  • Participate in national/international projects
  • Perform other duties as assigned.

Qualifications/Basic Job Requirements  

  • Project Management using relevant tools and techniques. Familiar with Lean Methodologies and processes
  • Candidates must have proficiency using Microsoft Office
  • MS Office and SAP as well as experience in analyzing data and demonstrable coordination skills.
  • You demonstrate a willingness to learn, proactive and excellent communication skills, both written and verbal.
  • Demonstrate the ability to work with flexibility and the ability to work under high pressure
  • you are supportive and able to adapt to a changing environment.
  • Demonstrated ability to maintain confidentiality and handle inquiries in a confidential and discrete manner.
  • Detail-oriented with excellent proof-reading and writing skills.
  • Effective communications skills in English.
  • A 2nd language would be a plus (French/German)

Education/Special Qualifications (schooling, certifications):

Bachelor's Degree in English (not mandatory), Business Administration, or Operational Management or a related field.


1-5 years of experience in an aviation related field.

Experience as an assistant to a senior level executive preferred.

Essential Functions:

  • Vision: able to see and utilize fine work tools, computer screens; able to move through office and from point to point to find specific co-workers and in-house experts.


  • Hearing: able to hear in normal conversations and respond to warnings and signals.
  • Speaking: able to participate in normal business conversations.
  • Equipment Operation (personal computer, telephone, copies, fax machine, and related office equipment and using electronic identification card to enter building floors and internal doors): able to use work tools defined in job description with skill and acceptable results; able to operate standard office equipment and utilize electronic ID to enter building
  • Carrying: able to carry up to 40 lbs./18kg. when transporting documents, printer paper and similar items.


    • Lifting: able to lift up to 40lbs/18kg. on occasion.
  • Pushing / Pulling: able to push/pull equipment, tools, production carts and office chairs and pieces of equipment
  • Sitting: able to sit for extended periods of time in front of a machine, on a tool bench or computer terminal while writing bulletins or participating in meetings
  • Squatting / Kneeling: able to regularly squat/kneel to access items or tools stored on low shelving
  • Standing: able to stand for long periods of time in meetings and discussions
  • Travel: able to travel through office/work complex and occasionally within US for business meetings.
  • Walking (include routine walking such as to a shared printer to retrieve documents): able to walk through office and production areas sometimes on uneven surfaces to obtain items for work, retrieve/replace tools and to reach meetings, visitors and direct others to meetings.
